Terms of Service

In short: your first 3 months are free, then you pay monthly and can cancel at any time. Your nursery owns its data and can take it with you. You check AI drafts before they reach parents, and we look after the service and keep your data safe.
1. About these terms
These terms are an agreement between Forest Village Kindergarten Ltd, trading as ChildHive ("ChildHive", "we", "us") and the nursery or organisation that signs up to use ChildHive ("you"). By using ChildHive you agree to them. If you sign up on behalf of a nursery, you confirm you are allowed to do so.
Our Data Processing Agreement forms part of these terms and explains how we handle the personal data you keep in ChildHive. Our Privacy Policy explains how we use personal data more generally.
2. The service
ChildHive is online nursery management software, including observations, registers, invoicing, newsletters, accident and medication records and a parent app. We set your nursery up for you when you join. We improve ChildHive over time and may change or replace features, but we will not remove a core feature you rely on without giving you reasonable notice.
3. Free period, pricing and payment
- Your first 3 months are free. If you do not want to continue, tell us before the free period ends and you will not be charged.
- After that, ChildHive costs £49 a month for one nursery, or £99 a month for a group of 2 to 5 nurseries. For more than 5 nurseries, we will agree a price with you.
- Fees are payable monthly in advance. Prices exclude VAT, which is added at the standard rate.
- If a payment is more than 30 days late, we may pause access after giving you notice. Your data is not deleted while access is paused.
- We will give you at least 30 days' notice of any price change.
4. Cancelling
You can cancel at any time by telling us in writing, including by WhatsApp message. Your subscription ends at the end of the month you have paid for, and we do not refund part months. We may end the agreement if you seriously break these terms and do not put it right within 14 days of us telling you.
When the agreement ends, you can ask us for an export of your data. We will then delete it as described in the Data Processing Agreement.
5. Your accounts and staff
- You decide who in your nursery has access and what role they have.
- You are responsible for keeping sign-in details secure and removing access for people who leave.
- Admins must use two-factor authentication.
- Tell us straight away if you think an account has been misused.
6. Your data
You own the information you put into ChildHive. You give us permission to store and process it only so we can provide the service to you. You are responsible for having a lawful basis to record it, for telling families how you use their information, and for keeping it accurate.
7. AI features
Some features use AI to draft text, such as observations from a photo. AI drafts can contain mistakes. A member of your staff must review every draft before it is shared with a parent, and ChildHive enforces this. You remain responsible for what your nursery shares and for professional judgements about children.
8. Using ChildHive properly
You agree not to:
- use ChildHive for anything unlawful or harmful, or to store content you have no right to store;
- try to access other nurseries' data or get around security measures;
- copy, resell or reverse engineer ChildHive.
9. Availability and support
We work hard to keep ChildHive available and reliable, but we cannot promise it will never be interrupted, for example during maintenance or problems with our providers. Forms filled in offline are saved on the device and sync when the connection returns. For help, contact us on WhatsApp.
10. Our responsibility to you
- Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
- We are not responsible for indirect losses, such as lost profits or lost business, or for losses caused by events outside our reasonable control.
- Otherwise, our total liability to you in any 12-month period is limited to the fees you paid us in that period.
11. Changes to these terms
We may update these terms. We will email you at least 30 days before an important change takes effect. If you do not agree, you can cancel before the change applies.
12. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
